Description du poste
L’associé de bureau s’acquitte de tâches courantes, mais variées. Ces tâches comprennent la photocopie de documents, la compilation et le classement de dossiers, la mise en forme de tableaux, la publication de renseignements et la distribution de courrier. Le titulaire du poste doit également s’occuper de la tenue de dossiers, de la préparation de formulaires, de la vérification d’informations et de la résolution de problèmes courants.

Principales responsabilités
• Coordonner le flux des produits avec les fournisseurs et les magasins, tout en facilitant le processus. Communiquer les échéances des réalisations attendues.
• Établir un contact avec les transporteurs pour éviter les retards.
• Planifier et coordonner efficacement la distribution des produits afin de répondre à la demande en magasin.
• Analyser et réviser les plans d’expédition, au besoin. Collaborer avec d’autres rayons pour garantir la satisfaction des équipes de magasin et s’assurer de l’exactitude des dossiers d’expédition.
• Déterminer dans quels camions placer les produits en fonction de différents facteurs, notamment la durée et l’objectif du déplacement, les exigences en matière de transport et les préférences de l’utilisateur. Faire des vérifications sur les véhicules en retard.
• S’entretenir avec les clients pour localiser les marchandises manquantes, acheminées au mauvais endroit, en retard ou endommagées, ou pour expédier des marchandises de remplacement.
• Vérifier les renseignements d’identification ou les dossiers d’expédition des commandes entrantes et sortantes, puis les comparer avec les lettres de transport, les factures, les bons de commande ou toute autre pièce justificative. S’assurer que la quantité et le type de matériaux reçus correspondent à ce qui a été commandé, et tenir à jour les dossiers correspondants.
• Préparer les documents requis pour les envois intérieurs ou internationaux.
• Tenir à jour des dossiers.
• Accueillir les fournisseurs, les clients, les candidats et les autres visiteurs, et coordonner leur transport, le cas échéant. Gérer un commutateur ou une console téléphonique et acheminer les appels entrants.

• Supérieur immédiat : directeur, Centre de distribution.

Exigences physiques
• Position confortable pour la plupart des tâches; nombreuses occasions de bouger ou de se déplacer. Nécessité de déplacer ou de soulever des objets légers dans de rares cas.

• Lieu de travail confortable à l’intérieur. Conditions déplaisantes : rares et tolérables.
• Exigences en matière d’exactitude et de respect d’échéances et de quotas raisonnables.

• Bilinguisme parfait (anglais et français).
